Manual process
When there is a vacant position in the company, a candidate is short listed after an interview process. The HR department prepares an offer letter. The candidate confirms acceptance and the start date. HR informs the new employee's manager as well as the facilities department about the new employee's start date. The facilities department checks whether the employee is hired for a new position created or is a replacement. In case of a new position, the facilities department ensures that basic infrastructure like cubicle, phone, and computer are in place on the employee's start date. The facilities department also coordinates with the Network Administration to setup the email ID and network ID for the new employee.
Issues
Inducting a new employee into the organization requires coordination between various departments. Often employees spend the first few days waiting for a computer or network IDs. Making the employee productive to the organization sooner depends on how quickly he is able to start work.
Automation
With ATPATH Automation Server, the new hire process can be triggered on creation of a new hire intimation. The new hire intimation can be in the form of a pre-defined word document or an email message. The new hire intimation along with the start date can be automatically routed to the various departments. Sub-workflows can be created for each individual department to ensure that the departments follow their internal processes for tasks. For example, the facilities department may initiate a purchase requisition, while the network administration department may initiate a process for creating network and email IDs, setting up security and access levels.
